Executive Assistant

POSITION DESCRIPTION

Position Title:                    Executive Assistant

Reports to:                        Executive Director, Oweesta

Job Level:                         Exempt

Hours:                               Half-time

Location:                           Remote

Position Summary: To assist the Executive Director and Executive Team to ensure the overall efficient and effective management of the operations of the Oweesta Corporation. This role includes supporting communications, fundraising, scheduling, and other administrative functions. Is a key member of the Oweesta Corporation leadership team responsible for working together to secure the long-term future for this national Native community development financial institution.

Specific responsibilities will include:

Executive Director and Executive Team Support Responsibilities

  • Prepare and produce documents, including high-level proofreading, editing and formatting.
  • Maintain Executive Director and organizational master calendar.
  • Perform research and project support tasks.
  • Coordinate Oweesta Corporation resources (both staff and material resources) and logistical preparations for meetings, presentations, etc.
  • Coordinate travel arrangements and conference attendance for Executive staff.
  • Manage electronic filing.
  • Develop PowerPoint presentations.
  • Other duties as assigned.

Board of Directors Support Responsibilities

  • Prepare materials for quarterly board meetings and finance committee meetings.
  • Type and send meeting minutes for board and committee meetings.
  • Prepare and update board orientation materials.

Administrative Responsibilities

  • Maintain vendor files and contacts.  Research vendor options, review bills and communicate with vendors as needed.
  • Support the Executive Director and the Oweesta team with grant requests and public relations activities.
  • Implements aspects of the organization’s strategic plan relevant to the responsibilities of this position.
  • Performs other related duties as required.

Desired Qualifications:

  • Bachelor’s degree from an accredited college or university
  • At least 3 years relevant administrative experience
  • Excellent organizational and time management skills with excellent attention to detail
  • Strong written and verbal communication skills
  • Experience working with Tribal communities or diverse communities preferred
  • Proficiency with Microsoft suite products packages, (Word, Outlook, Access, Excel, PowerPoint).
  • Knowledge of online communication products; PowerPoint, Mail Chimp, Survey Monkey.

Special Requirements:

  • Must be available to work a flexible schedule as requested by the Executive Director.
  • Work schedule might involve some evening and weekend work.
  • Might be asked to travel for multiple days in a row.

Director of Finance
Position Title:  Director of Finance

Reports to:   Chief Financial Officer, Oweesta

Job Level:  Exempt

Hours: Full Time

Location: Remote

Salary: DOE

Position Summary: The Director of Finance will manage the day to day operations of the accounting department and serve as an assistant to the Chief Financial Officer.

Specific responsibilities will include:

Accounting and Administration

  • Oversee the finance department to ensure proper maintenance of all accounting systems and function.
  • Ensure maintenance of appropriate internal controls and financial procedures.
  • Ensure timeliness, accuracy, and usefulness of financial and management reporting for federal and state funders, foundations, and grantors.
  • Preparation and communication of monthly and annual financial statements.
  • Assist CFO with audits and proper filing of tax returns.
  • Ensure legal and regulatory compliance regarding all financial functions.
  • Work closely with the lending team to ensure proper accounting and reconciling accounts between accounting software and lending software.
  • Monthly budget to actual reports for all grants and contracts.
  • HUD Network quarterly reporting for Oweesta and our HUD Network groups.
  • Financial grant management including the preparation of grant budgets.
  • Expenditure coding for all expenditures as to proper account, class, and departement.
  • Assist CFO with organizational budget and management of that budget.
  • Provide technical assistance in Financial Management to Oweesta’s clients.
  • Assist CFO as needed with additional duties.

Desired Qualifications:

  • A minimum of a BS in accounting; a CPA and/or MBA would be a plus.
  • Significant experience in or knowledge of nonprofit accounting, including sophisticated fund and grant accounting, compliance, and reporting.
  • Deep knowledge and understanding of the Office of Management and Budget Circular A133 audit.
  • Experience working with information technology staff to manage finance and accounting software packages.
  • Excellent written and oral communication skills.
  • Demonstrated leadership ability, team management, and interpersonal skills.
  • Excellent analytical and abstract reasoning skills, plus excellent organization skills
